Sensitive planning data needs more than a private link. It needs narrow sharing, predictable visibility rules, and repeatable review.

Start with least privilege

The safest default is simple: give people the smallest access scope that still lets them do their job. That usually means:
  • sharing the summary surface before the underlying model
  • limiting access to the exact audience that needs it
  • keeping Full access restricted to a small set of accountable owners
If someone only needs the outcome, do not start by giving access to the full planning surface.

Use the right controls together

Sensitive data protection usually depends on several controls working together:
  • least-privilege permissions
  • restricted teamspaces or groups
  • limited sharing of underlying models and source data
  • visibility controls that reduce exposure during screen sharing or live review
  • audit and review habits for high-risk content
One control is rarely enough on its own.

Design for the audience

Not everyone needs the same level of detail.
  • Share a board or page when the audience needs a decision-ready summary.
  • Share a view when the audience needs one controlled slice.
  • Share the full model only when the audience also needs to inspect or edit the planning logic.
This keeps sensitive data from spreading more broadly than the workflow requires.

Recheck after changes

Sensitive-data risk often appears after the original setup. Review your assumptions again when:
  • content moves between teamspaces or owners
  • new groups are added
  • a board starts pulling from additional sources
  • an executive or external review process begins
The biggest mistakes usually happen during reorganization, not during first creation.
